Applications to exhibit are open to returning exhibitors. Please review the information below prior to applying to be an exhibitor.
If you have not previously exhibited at an ACR meeting, complete the new exhibitor form.

Clinical Trial Booth Space
Companies who seek to raise awareness of their clinical trials may engage with the ACR audience by renting a 10 x 10 booth space located in a special area in the exhibit hall, at the special rate of $2,500. This space is intended only for raising awareness for a specific clinical trial, and may not be used to promote existing products or treatments. Note: In order to participate in this program, a company may not have a therapy that is currently available in widespread distribution, and must be approved to exhibit by our review committee. Any company who violates this condition will be removed from the exhibit hall. Once approved, your company will receive a space assignment and invoice from our a2z exhibit system. Space will be sold until capacity is reached. Additional questions may be forwarded to exhibits@rheumatology.org.

Exhibit Booth Rates
Linear 10'x10' booth: $4,800
Corner 10'x10' booth: $5,000
Island booth: $50/square foot
Island booth, multi-level: $54/square foot
Non-profit 10'x10' booth: $1,250
Exhibitor Suites
Exhibitor suites can be used to host small staff meetings, a staff lounge or meet privately with attendees. Educational sessions may not be held in an exhibitor suite. Food service must be coordinated through the convention center caterer.

10x10 exhibitor suite: $7,800
10x20 exhibitor suite: $12,600
20x20 exhibitor suite: $22,000
Cancellation/Space Reduction Fees
Cancellations and space reduction requests must be submitted in writing to Exhibits Operations (exhibits@rheumatology.org) by June 27.
Booth space reduction requests may be granted at the ACR’s sole discretion.
Cancellations made on or after May 31, are not eligible for a refund and the cancellation fee for orders during this time is 100%; additionally, a $275 processing fee per 10’ x 10’ booth cancelled will also be applied.
Priority Point Sales Open

Only companies who have previously exhibited at ACR Convergence are eligible to participate. If you are new to ACR Convergence, please contact exhibits@rheumatology.org for assistance.
Priority Points Deadline
April 23 (4:00 PM ET)
Applications submitted by priority point holders on or before this date will be assigned exhibit space based on priority points.
Applications received after April 23 will be assigned space in the date/time order the application is received. Applications will be accepted from exhibitors at large starting April 24. Booth confirmation emails will be sent starting May 2. Applications will be accepted until the Exhibit Hall is sold out.
Application Process
The application process consists of the following steps:
- Company/contact information; applicants will be required to provide the following information:
- Name of exhibiting company, address, city, state,province, zip/postal code, country, and company website
- Company point of contact: name, title, telephone, and email address
- Select the type of space you would like to acquire. Note: This year, each booth and suite space will require a separate agreement.
- Review company information and the ACR's terms and conditions
- Sign the agreement and process payment
- Receipt of payment information
After the company is accepted and a booth assignment has been made, you will be able to update company details such as company description and product categories in the a2z ACR Exhibitor Hub.
Important Housing Advisory
The ACR Convergence 2025 housing and hotel booking site is now closed for all hotels. If you currently have a confirmed hotel reservation and would like to make any changes or cancels, please reach out to your hotel directly. Please note, hotels require time to process all reservations within their system. You may contact your hotel directly after Wednesday, October 8.

If you still need to make a hotel reservation, you may explore availability through our trusted partner, aRes Travel. Check current availability and rates in Chicago during the ACR Convergence 2025 dates online, or call 1-877-300-6147 for assistance (international callers may call 1-619-546-7263).
aRes Travel is a third-party travel planner. Rates, deposits, and cancellation policies will vary and are the responsibility of the guest.
Questions on hotel policies or payments made on aRes website should be directed to the aRes Reservation Center or the hotel directly. ACR Convergence 2025 group rates are no longer available.

Access to Exhibit Hall
All exhibitors and company representatives, including vendors entering the exhibit hall during exhibit and non-exhibit hours must have the appropriate badges.
- During exhibit days, exhibitors can enter the exhibit hall at 8:00 AM and remain in the hall until 5:30 PM.
- During installation days, exhibitors can enter the exhibit hall during installation hours.
- During installation day, exhibitors are required to wear appropriate shoes (no open-toe styles).
- Guests and children are not allowed in the exhibit hall during non-exhibit hours.
If you need access to the exhibit hall outside of the approved times, a request must be submitted in writing to Exhibit Operations at exhibits@rheumatology.org.
Access to Scientific Sessions
*Please note – exhibitor badges do not grant access to advanced programming.
Exhibitors are permitted to attend scientific sessions, provided space is available. Exhibitors interested in receiving CME credit for any scientific sessions they attend must register for ACR Convergence as a paid scientific attendee.
The scientific sessions are a separate forum from the promotional activities of the exhibit hall; therefore, exhibitors or company representatives attending educational sessions are expected to attend for the purposes of hearing the scientific information and not for the purposes of debate with speakers and other participants.
Although the ACR makes every attempt to accommodate all attendees, due to room size limitations, the ACR cannot guarantee a seat at any of the scientific sessions. In the event that room capacity is achieved, priority will be given to registered scientific attendees. Any attendee, including exhibitors or company representatives, displaying disruptive behavior during scientific sessions will be dismissed from the meeting.
Meetings and events organized by exhibitors held in conjunction with the ACR’s annual meeting are considered affiliate events. All events must be approved by the ACR. See details about affiliate events during ACR Convergence.

As an exhibitor at ACR Convergence, the exhibitor service kit is your resource to ensure a successful exhibiting experience. The service kit includes forms for ordering carpet, furniture, electricity, and more. In addition, you can find information about registration, housing, transportation, promotional advertising opportunities, etc. provided by the official meeting contractors.
The exhibitor service kit will be available June 17 and can be accessed from within the Exhibitor Hub. Exhibiting companies will receive the kit URL via email prior to its launch.
